Common Import Errors

The import tool in the Balance platform uses various levels of validation when uploading a file. These validations will generate error messages at times. Below we provide insight into some of the more common errors users may encounter and how to resolve them.

Columns cannot be modified from the original template

This error means that the import file does not match the required template. This typically is caused by using an old import template from the previous Balance platform.

Solution

You'll need to download a new template for that specific import type, then copy + paste your data into the new template.

Click the 'Download (Import type) template' button above the red error message. You can also download a new template on the Import/Export page by clicking 'Create new import', selecting the import type, then clicking the Download template button.

Field length is larger than allowed allowed max length

This error indicates that there are cells within your import file that contain more than 24 total digits, or more than 10 decimals. The most common reason we see this error is additional decimals that are not actually visible within your file, but are being picked up by the import tool.

When you receive this error, you can click onto the error to view the actual cells with errors.

Solution

To get around this error, you can manually retype the values for each cell with an error with less than 10 decimals. This is usually quickest when you only have a handful of cells with errors.

If you have more than a handful of cells with errors, we recommend using a rounding formula. We recommend copying and pasting the 'Amount' column into a new spreadsheet and apply a rounding formula, such as ROUND(Cell,2). Then you'll copy and paste the rounded values back into the 'Amount' column on your import file.

No matching GLID/Department/Campus/etc. found

This error indicates that a GLID or other fund profile field does not exist in your database. Click on the error message to view the specific cells with errors.

Solution

You'll need to create the GLID or other fund profile field option in your database before uploading your import file.

To create a new fund, follow these steps: How Do I Add a Fund?

To add new options within your fund categories (Purpose/Use, Department, Campus, etc.), see this article: How Do I Add Fund Categories (Populate Fund Profile Drop Downs)?
