Import Types

This article can be used to determine which import type to use when entering data in bulk into Balance.

Endowment Fund

This import type is used for adding or editing endowed funds in bulk.

Expendable Fund

This import type is used for adding or editing expendable funds in bulk.

Please note: This import type is only available for databases with the Expendable Funds module. Let us know if you're interested in tracking expendable funds in your database!

Transaction Activity (Simple)

Use this template to import activity for endowed and expendable funds for current or future periods/post dates.

Use this template to import historical transaction activity prior to your Balance Start Date.

Use this import to add and edit Spending Rule Exceptions (Distribution Rules) in bulk.

Instructions: How Do I Enter Spending Rule Exceptions (Distribution Rules) in Balance via an Import?

Using an Import 

  1. Navigate to Import/Export on the left side panel in your database. Select 'Create new import' in the top right corner. 

  2.  Select the import type you want to use from the dropdown, hit Continue.

     
  3. On the next page, you'll be able to download a fresh template if desired. We recommend using a new template your first time importing data into the new platform to prevent formatting issues.
  4. Once you have a template filled in with your data, click 'Browse' and select your file. Then hit 'Upload'.
     

     

Import Errors

If there are any errors in your import, you'll see an error message that will indicate the reason the file did not load successfully. You can Download the error list and click Show/Hide rows to see the error details. Follow the instructions in the interface to correct the error. The user will have to fix these errors and upload the file again.
